Witify ("Witify", "we", "our") takes the protection of your personal information seriously. This policy explains, in plain language, what information we collect, why, how we use and protect it, and the rights you have under Quebec's Act respecting the protection of personal information in the private sector, as amended by Law 25. It applies to witify.io and to all of Witify's services, forms and communications.

1. Person in charge of the protection of personal information
In accordance with Law 25, Witify has designated a person responsible for the protection of personal information. You may contact this person with any question, access or rectification request, withdrawal of consent, or to file a complaint:

2. Information we collect
We collect only the information necessary for the purposes described below. Depending on how you interact with us, this may include:

  • Information you provide — name, company name, email address, phone number, project type, desired deadline, and any content you enter in our forms (contact form, quote request, online tools) or send us via chat or email.
  • Navigation and technical information — IP address, browser and device type, pages viewed, referrer, UTM parameters, and interactions with the site. This is collected through cookies and similar technologies (see Section 5).
  • Usage information — anonymized session recordings and scroll maps that help us understand how our pages are used.

We do not knowingly collect information from children under 14 without the consent of a parent or guardian.

3. Purposes and use
We use your personal information only for the following purposes:

  • to respond to your inquiries and provide quotes;
  • to communicate with you about our services and your project;
  • to provide, operate and improve our website and tools;
  • to perform statistical analysis and measure the performance of our website and campaigns;
  • to send you marketing communications with your consent (you may unsubscribe at any time);
  • to comply with our legal obligations.

We do not make any decision based exclusively on the automated processing of your personal information that would produce legal effects concerning you. Should this change, we would inform you and allow you to submit observations as required by law.

4. Consent
By providing us with your personal information, you consent to its use for the purposes described in this policy. Consent required for marketing purposes and for non-essential cookies is requested separately, freely and on an informed basis. You may withdraw your consent at any time, as easily as you gave it, by contacting the person in charge (Section 1) or, for cookies, by changing your preferences (Section 5). Withdrawal is not retroactive and may limit certain services.

5. Cookies and tracking technologies
Our site uses cookies and similar technologies. Some of these technologies can identify you, locate you, or build a profile of your interests.

  • Essential cookies — required for the site to function (no consent required).
  • Audience measurement and performance cookies — to understand and improve how the site is used.
  • Marketing and profiling cookies — to measure our campaigns and show you relevant advertising on third-party platforms.

In accordance with Law 25, the functions that identify, locate or profile you are deactivated by default and are activated only with your consent. A banner lets you accept or refuse these cookies and change or withdraw your choice at any time. We use, among others, the following categories of tools: tag management (Google Tag Manager), audience measurement and behavioural analytics, advertising (Meta/Facebook, LinkedIn, OpenAI), email marketing (Klaviyo), chat (Crisp) and appointment scheduling (Calendly). Some of these providers may set their own cookies.

6. Disclosure to third parties
We do not sell your personal information. We may disclose it:

  • to service providers acting on our behalf (hosting, cloud, analytics, email marketing, advertising, chat, productivity tools), only to the extent necessary to perform their mandates and under contractual confidentiality commitments;
  • when required by law or to assert our rights;
  • as part of a business transaction (merger, acquisition), subject to confidentiality commitments.

7. Transfers outside Quebec
Some of our service providers are located outside Quebec, notably in the United States and Europe. When your personal information is disclosed outside Quebec, we conduct a privacy impact assessment and take the measures required to ensure it receives adequate protection, in accordance with Law 25.

8. Retention period
We keep your personal information only for as long as necessary for the purposes for which it was collected, or as required by law. Once those purposes are fulfilled, we securely destroy or anonymize the information.

9. Security
We implement reasonable technical, physical and organizational security measures to protect your personal information against loss, theft, and unauthorized access, disclosure, copying, use or modification. In the event of a confidentiality incident presenting a risk of serious injury, we will take the required measures, record it in a register, and notify the Commission d'accès à l'information and the affected individuals, as required by law.

10. Your rights
Subject to the conditions provided by law, you have the right to:

  • access the personal information we hold about you;
  • request the rectification of inaccurate, incomplete or equivocal information;
  • withdraw your consent to the use of your information;
  • request the portability of your information (in a structured, commonly used technological format);
  • request de-indexation or that we cease disseminating information in the cases provided by law;
  • unsubscribe from our marketing communications at any time.

To exercise these rights, contact the person in charge (Section 1). We will respond within the timeframes set by law (generally within 30 days).

11. Complaint to the Commission d'accès à l'information
If you believe we have not adequately handled your personal information or responded to your requests, you may contact the person in charge (Section 1). You also have the right to file a complaint with the Commission d'accès à l'information du Québec: www.cai.gouv.qc.ca

12. Changes to this policy
We may update this policy to reflect changes in our practices or legal obligations. Any change will be posted on this page with a revised update date.

Personal Information Governance Policy
Witify has adopted policies and practices governing the management of personal information. They set out the roles and responsibilities of our personnel throughout the life cycle of the information, establish a complaint-handling process, provide for secure retention and destruction measures, and require the maintenance of a register of confidentiality incidents.
